About the Role

Position Overview:
Join SHARE Therapy & Wellness as our Office or Community Manager, where you'll play a pivotal role in fostering connections and promoting mental health awareness within our community. These dynamic positions combines administrative responsibilities with outreach coordination, offering the opportunity to make a meaningful impact while supporting the smooth operation of our practice.

We are seeking two separate part time administrative professionals to fill our open Office Manager and Community Manager roles with the ability to transition to full time within the next 6 months as we are growing. Both positions will cover 20 hours of work per week. The Office Manager role will encompass more operations and direct patient work and the Outreach Manager will cover some administrative duties but will focus on community engagement and outreach.

Although two separate rolls, the Office and Community Managers will work closely together every day as a joint effort to support the clinical program at SHARE.

Key Responsibilities: (may include but not limited to)

Administrative Support:
-Manage front desk operations, including greeting visitors, answering phone calls, and scheduling appointments.
-Coordinate patient intake processes, ensuring accuracy and completeness of demographic and insurance information.
-Oversee maintenance of office supplies and equipment, liaising with vendors as needed to facilitate repairs and replenishments.

Reception Duties:
-Provide warm and professional customer service to clients, staff, and external stakeholders.
-Facilitate client check-in and check-out processes, collect payments, and assist with billing inquiries.
-Maintain a tidy and welcoming reception area, adhering to cleanliness and safety standards.

Outreach Coordination:
-Develop and implement outreach initiatives to promote mental health education, resources, and services within the community.
-Collaborate with local organizations, schools, and healthcare providers to identify opportunities for partnership and collaboration.
-Organize and facilitate community events, workshops, and support groups to engage diverse audiences and raise awareness about mental health topics.

Networking and Relationship Building:
-Build and maintain relationships with community leaders, stakeholders, and referral sources to enhance visibility and access to mental health services.
-Represent the practice at networking events, health fairs, and community forums to promote our mission and services.
-Participate in interdisciplinary meetings and collaborations to ensure alignment of outreach efforts with clinical priorities and goals.

Marketing and Communication:
-Assist in the development of marketing materials, including brochures, flyers, and social media content, to promote practice services and events.
-Contribute to the management of digital marketing platforms, including website updates, email campaigns, and social media postings.
-Monitor online reviews and feedback channels, responding promptly and professionally to inquiries and concerns.

Event Planning and Execution:
-Plan, coordinate, and execute events such as open houses, wellness fairs, and educational seminars to engage community members and promote mental health awareness.
-Coordinate logistics, secure venues, and collaborate with internal and external stakeholders to ensure successful event outcomes.
-Evaluate the effectiveness of the event and solicit feedback to inform future outreach strategies and initiatives.

Administrative Coordination:
-Assist with administrative tasks such as data entry, file management, and documentation support to maintain accurate and up-to-date records.
-Support the office in coordinating staff schedules, meetings, and training sessions to optimize clinic operations.
-Contribute to the development and implementation of office policies, procedures, and protocols to enhance efficiency and compliance.

Qualifications:

  • Bachelor's degree in psychology, social work, public health, communications, or related field is preferred but not required. We are open to training the right candidates.

  • Demonstrated experience in administrative support, customer service, or community outreach roles.

  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.

  • Excellent communication and interpersonal skills, with a customer-focused and empathetic approach.

  • Proficiency in Google Office Suite and familiarity with digital marketing platforms are preferred.

  • Passion for mental health advocacy, community engagement, and social impact initiatives.

  • Fluent in Spanish preferred but not required.

  • Pay: $18-$20 an hour to start based on experience with options for quarterly pay raises based on progress and productivity.



Work Schedule:

  • 2 part time positions with flexibility to accommodate occasional evening and weekend community events.

  • Regular office hours with occasional off-site outreach activities and events.

  • 20-hour work weeks with some days working from home in a hybrid work environment.

  • Great opportunity for students in the mental health field as we offer long term BSW/MSW/RCSWI supervision included with employment.
